Getting started
How long does it take to send my first quote?
About two minutes. Sign up, choose your kind of work, and your services, prices and terms are ready. Tap the items, add your customer and press Send.
Can I change the services and prices I start with?
Yes. They’re just a starting point. Open Settings, Price list and tap an item to change its name, its price or how it’s priced, or type a custom item on any quote. Anything new you quote for is added by itself. A price you change on one quote stays on that quote, so a one-off discount never becomes your usual price.
Where do I put my terms and conditions?
In Settings, Quote defaults. They go on every new quote. To change them on one quote only, open it, tap More options and edit Terms there.
How do I change my business name, address or tax number?
In Settings, Business details. They show on your quotes, invoices and emails.
How do I add my logo and colours?
Go to Settings, Brand & design and upload your logo. We pick your brand colour from it, and you can choose one of six quote designs with a live preview.
Can I tell customers why to choose me, or link to my reviews?
Yes. In Settings, Business details, under “Why choose you”, write a few words about your business and paste the link to your reviews (Google, Trustpilot, Checkatrade or similar). Every quote then has an “About” section with a “Read our reviews” button, and the PDF includes both.
I do the same job often. Can I reuse a quote?
Yes. When you start a new quote, tap “Done this job before? Copy a past quote” and pick one: its items, prices and notes are copied into a new quote, and you choose the customer. From any quote you can also open More and choose “Make a copy to edit”.
Can I show photos of my work?
Yes. Go to Settings, Photos of your work and tap “Add photos”: straight from your phone is fine, several at once. Each photo has its own row, with arrows to change the order and a Remove button. They appear on every quote you send, under what’s included, and your customer can tap one to see it larger. On any quote you can leave some off (More options in the quote editor), so a quote for a patio need not show your roofing. Free shows 2; Pro shows up to 8.
I picked the wrong kind of work. Can I change it?
Yes. Go to Settings, Price list and tap “Change kind of work”. Starter items you haven’t changed or used are swapped for the new list. Anything you added, edited or have quoted with stays, and so do your quotes.
Can I run more than one business?
Yes, on a paid plan. Pro covers up to 3 businesses under one log-in. Each has its own logo, price list, customers, quotes and payments, and you switch between them in Settings, Your businesses. One plan covers them all.
Does it work in my language?
Gugab speaks English, Spanish, French, German, Italian, Dutch and Brazilian Portuguese. The app starts in your browser’s language, and you can change it in Settings, Account. Your customers see the language you choose in Settings, Quote defaults: the quote page, PDFs, invoices and their emails. Quotes written in any script, Japanese or Arabic included, print as they should.
Does it work on my computer?
Yes. It works in any modern browser on a phone, tablet or computer, and what you do on one is there on the others.
How do I get it on my phone?
At a computer, open Settings and choose “Gugab on your phone”: point your phone’s camera at the square and it opens there. On the phone, the same place in Settings shows how to add it to your home screen, so it opens from its own icon like an app. There is nothing to download from an app store.
Can I get notifications on my phone?
Yes. Open Settings, Notifications and tap “Turn on notifications”: your phone asks if you want them, and you can say no or turn them off at any time. You then get one when a customer opens a quote, accepts, asks for changes or pays, for each thing you have ticked there. On an iPhone or iPad, add Gugab to your Home Screen first (Share, then Add to Home Screen) and turn them on from there. No app store is needed, and the app updates itself.
Sending quotes
How do customers get the quote?
By email from your business name, or by a link you share on WhatsApp, text or anywhere else. The link opens the quote on any device.
What can I put on a quote?
Items priced per hour, day, visit, person, room, square metre or as a fixed price; optional extras your customer can tick to add (tap “Optional” on any item); a discount; tax added or included, called what it is called where you work (VAT, GST, sales tax); a deposit; an expiry date; notes and your terms. Add the customer’s company and the job address when you need them.
Can I quote in another currency?
Yes. Change the currency on a single quote, for example for a client abroad.
Will I know when they've looked at it?
Yes. You’ll get an email when a quote is opened, accepted, declined or when they ask for changes, and every step appears in the quote’s timeline.
Where do I see the money I'm still owed?
On the home screen. “To collect” adds up what is still owed on jobs that said yes. Tap it to list just those jobs, each with what is left to pay and when it is due.
Can I change a quote after I've sent it?
Yes, until your customer answers. Open the quote and tap Edit: their link shows the new version straight away, and the page tells them it was updated. Once a quote is accepted it can’t be edited: open More and choose “Make a copy to edit” to send a new version. Your customer’s contact details can be corrected at any stage with “Edit details” on the quote.
My customer didn't get the email. What now?
Open the quote. Under “Customer link” you can copy the link, or send it by WhatsApp or text, and it works straight away. If the address was wrong, tap “Edit details” on the quote, correct it and press Resend. It is also worth asking them to look in their spam folder.
My customer said yes by phone. Do they still have to press Accept?
No. Open the quote and tap “They said yes? Mark as accepted”. Tick any extras they wanted and confirm. The quote says that you recorded it, and your customer gets an email to confirm, so they can say if it isn’t right. From there you can take the deposit and record payments as usual.
They declined, then changed their mind. Do I start again?
No. Open the declined quote, change it if you want to (a lower price, say) and tap “Send again”. It goes back to them on the same link, as an open quote.
A quote has expired. Can I bring it back?
Yes. Open it and tap “Send again with a new date”, or “Edit first” to change it. To choose the date yourself, edit the quote and set “Valid until” under More options.
Why can't I delete this quote?
A quote with a payment on it is kept for your records. If the payment was recorded by mistake, remove the payment first (it’s on the quote, under Payments), then delete the quote from More.
Your customers
Do customers need an account or an app?
No. They open the link, can tick optional extras, accept by typing their name, and pay a deposit if you ask for one.
What if they want something changed?
They tap “Ask for changes” and write what they need. You update the quote and resend it.
Can they download a copy?
Yes. Every quote has a PDF they can download, print or forward.
A customer has asked me to delete their details. How?
Go to Settings, Account and choose “Remove a customer’s details”. Find them and confirm. Their contact details, messages and unpaid quotes are deleted for good. Quotes they paid for are kept for your records, without their name or anything else that identifies them.
Deposits and payments
How do I take deposits online?
Go to Settings, Payments and connect your Stripe account. It takes about five minutes and you’ll need your bank details. After that, customers see a Pay deposit button when they accept.
Where does the money go?
Straight into your own Stripe account, then to your bank on Stripe’s normal payout schedule. We never hold your money.
Can I take the rest of the money through Gugab?
Yes. Once a quote is accepted and the deposit is settled, open it and tap “Ask for a payment”. Choose the amount, a stage payment or the whole balance, and say what it’s for. Your customer gets an email and pays from the same link. The quote always shows what’s been paid and what’s left.
What if a customer doesn't pay the deposit?
The quote stays marked as waiting and they can pay from the same link at any time. On Pro, they get up to two reminders by email with the Pay button: three days after accepting and a week after that. A payment you ask for later gets its own two, on its due date if you set one. Each waiting quote shows when its next reminder goes out, and if a payment is still late we email you too. You can switch any of these off in Settings, Notifications.
My customer's card was declined. What can they do?
Nothing is lost: the quote stays as it was, and they can try again from the same link, with another card or another way the payment page offers. If a bank payment fails after it was sent, they get an email saying so, with the link to try again. If it keeps happening, it is usually their bank: they can call it, or pay you by bank transfer and you mark it as paid.
Can customers pay by bank transfer?
Yes. On any plan you can take a transfer and mark it as paid on the quote. On Pro, add your bank details in Settings, Payments and they appear on the quote and its invoice whenever a deposit or payment is due, with the reference to use.
What does it cost?
Our fee is 2% of each card payment on Free and 1% on Pro. Stripe’s standard processing fees also apply. Payments by bank transfer or cash are free: just mark them as paid.
Do my customers get an invoice and a receipt?
Yes, and you don’t write either. Each time money is asked for (the deposit when they accept, or a payment you ask for) your customer gets a numbered invoice for that amount, in your design, with the tax shown. When it’s paid, the same document is their receipt. The link is in their email and on their quote, and you’ll find each one on the quote in your app.
Will the invoices suit my country?
They carry what an invoice needs almost everywhere: a number in order, your details and your customer’s, the dates, what it’s for, the net amount, the tax and the total. In Settings you choose the number’s prefix and what the document is called (some countries require “Tax invoice”), and add your legal name and your tax or company number. If your country has rules of its own, check them with your accountant.
Does it help with my accounts?
Yes. In Settings, Account you can download your invoices and your payments as spreadsheets: number, date, customer, what it was for, net, tax, total, how it was paid and any refund. Hand them to your accountant or load them into your bookkeeping software. Gugab isn’t accounting software: it doesn’t file tax returns for you.
How do refunds work?
Refunds are made from your Stripe dashboard, because the payment is in your account: each card payment on a quote has a link to it. The quote updates by itself to show what was refunded and what is left to pay. Our fee on a refunded payment is not returned.
I recorded a payment by mistake. Can I undo it?
Yes. Open the quote and, under the payment, tap “Recorded by mistake? Remove it”. It comes off what the quote says has been paid and its receipt is cancelled. This is for payments you recorded yourself (bank transfer, cash); a card payment is refunded in Stripe instead.
I asked for a deposit but don't need it after all.
Open the quote and tap “No deposit after all”. The quote shows as accepted with nothing to pay up front, and you can still ask for payments later.
Stripe is asking for more details, or card payments have stopped.
Open Settings, Payments. It says whether Stripe needs something from you or is just checking what you sent, and one button takes you to Stripe to finish. If Stripe ever pauses card payments on your account we email you the same day. Everything else carries on working meanwhile, and you can still record payments made another way.
How do I disconnect Stripe, or use a different Stripe account?
In Settings, Payments, tap “Disconnect Stripe”. Your Stripe account and the money in it are not touched. If you connect again you get the same account back, set up as it was; to start a new one instead, choose “Set up a different Stripe account instead”.
Plans and your data
What do I get for free?
10 quotes a month with all the essentials: branding, live preview, online acceptance and deposits. Connect Stripe to take card payments and it becomes 20 a month.
How do I upgrade or cancel?
In Settings, Plan & billing, where each plan is shown with its price. “Manage billing and invoices” is where you change your card, switch plan, cancel, or download your invoices. Cancel any time: you keep your plan to the end of what you’ve paid for, and the screen shows the date it ends.
What happens to my account when a paid plan ends?
Nothing is deleted. You move to Free: 10 quotes a month, automatic reminders stop, and quotes carry our name again. Anything above Free’s limits is paused, not removed: extra businesses, extra photos, your bank details on quotes, and your own web address (links you already sent with it still open). Come back to a paid plan at any time and it all switches on again. We email you when it happens.
My plan payment didn't go through.
We email you, and the app shows a notice. Nothing changes straight away: open Settings, Plan & billing, tap “Update your card”, and the payment is tried again by itself.
Can I get my data out?
Yes, at any time. In Settings, Account you can download your customers, quotes, invoices and payments as spreadsheets that open in Excel, Numbers or Google Sheets, or everything in one file.
Is my data safe?
Everything travels over encrypted connections and is kept on servers in Germany, with backups. Card details are taken by Stripe and never reach us. You can download your data or delete your account at any time in Settings, Account, and the privacy policy has the details.
How do I delete my account?
Settings, Account, Delete account. Type DELETE and your password. A paid plan ends at the same moment, with nothing more to pay. Your quotes, customers and price list are removed and customer links stop working, so download your data first if you want a copy.
Your account
How do I change my email, password or name?
In Settings, Account. To change your email, type the new address and your password: we send a link to the new address, and nothing changes until you press it, so a typing mistake can’t lock you out. To change your password you need your current one; if you’ve forgotten it, the same screen emails you a link instead.
I didn't get the confirmation email, or I typed my address wrongly.
Until your email is confirmed, a notice on the home screen and in Settings, Account says where the link was sent. From it you can send the email again, or tap “Not your address? Change it” to put the right one in. Check your spam folder too.
Can a member of staff log in?
Not separately, for now: each account has one log-in. One log-in can run several businesses on a paid plan.
How do I use my own web address and email address?
On the White label plan, open Settings, Your domain & email. Enter the address you want (for example quotes.yourbusiness.com) and you’re shown two records to add at the company you bought your domain from, each with a copy button. We check every hour and email you when it’s live; your quotes keep working on our address until then. If the records aren’t found within 14 days we stop waiting and tell you, and you can enter it again.
My account has been paused.
We email you when that happens, with who to write to. While it is paused you can still log in to download your data, and to change or stop a paid plan.
Something isn't saving, or the app says "Not saved".
That usually means your connection dropped. What you typed is still on the screen: tap “Not saved. Try again” at the top, or carry on and it goes with your next change. A quote you are writing asks before it lets you leave without saving.
